Office Manager / Operations Coordinator

Are you a highly driven, confident, organised, and proactive professional, with a keen eye for detail? Do you have exceptional communication and interpersonal skills, with the ability to inspire and motivate others?

Due to continued increase in demand for our services at JVP Group, we have created a new role for an ambitious individual to assist the Managing Director in ensuring the continued smooth running of our rapidly growing business operation.

In this key role, you’ll always be looking one or two steps ahead, and will lead the coordination and delegation of operational tasks across a small yet productive team, within our fast-paced operation where workload priorities change throughout each working day. To succeed, you’ll need to be IT savvy and flexible towards tasks, taking a hands-on approach with administrative and customer service activities.

The Role – Office Manager / Operations Coordinator

As the Office Manager / Operations Coordinator within our ambitious business, you’ll play a key role in ensuring communication continues to be high on the agenda within our team orientated culture, helping each other to overcome challenges and celebrate daily successes, maintaining a high level of motivation and productivity. Your focus will be on tasks such as:

  • Leading daily operational team huddles to establish workload priorities and capacity
  • Managing multiple inboxes, actioning requests and responding to emails, or delegating as appropriate
  • Answering the phone, providing a helpful and professional service with a smile
  • Uploading client approved adverts to job sites
  • Providing cover for a variety of administrative tasks such as scheduling of social media recruitment campaigns, and administering testing services
  • Undertaking quality control activities to ensure standards remain at a high level 
  • Identifying opportunities for further efficiencies and enhancements with processes and systems, collaborating with the team, and then implementing and communicating developments
  • Taking ownership of CRM processes, with a logical approach to amending fields and automated workflows, as opportunities for improvements are identified including those you initiate
  • Liaising with suppliers to resolve any software technical issues as they arise
  • Assisting with new employee preparation and onboarding, providing training on systems and administrative processes
  • Revamping and maintaining up-to-date training documents and videos
  • Initiating and organising regular employee engagement activities

Our Requirements - Office Manager / Operations Coordinator

Our operation is fast-moving, yet quality remains at the forefront of all we do, so you’ll need to be diligent as well as proactive in organising and managing a busy workload with frequently changing priorities and tight deadlines. Your passion and determination for accuracy and efficiency, along with superb communication and interpersonal skills, will enable you to succeed in the role. If you also meet all the following essential criteria, then we’d love to hear from you:

  • Proven experience in a similar operational / office support role, gained within a busy SME
  • Highly driven and self-motivated, with a strong work ethic and reliable
  • A positive ‘can do’ attitude, with a logical, inquisitive, and solutions-focused mindset, and the ability to make informed decisions with minimal supervision
  • Ability to motivate and inspire others, leading by example with a hands-on approach
  • Enthusiasm to learn, determination to succeed, and be resilient
  • Accurate and timely data entry and typing skills
  • A high standard of grammar, spelling, and attention to detail
  • IT savvy, with confidence and ability to quickly pick up new software and become the ‘go to expert’

The Package

You’ll need to be prepared to learn and put in the work, as it will be no stroll in the park – but you will be appreciated and well rewarded as you establish yourself in our growing business and contribute to achieving company goals.

  • Salary in the region of £25,000 to £27,000, with the level based on experience
  • Generous annual leave starting at 25 days plus bank holidays, rising incrementally with length of service to a maximum of 30 days plus bank holidays
  • Permanent contract, working Monday to Friday 8.45am to 5.15pm. Although, flexibility with hours is required for occasions where urgent tasks arise / to ensure deadlines met

As the Office Manager / Operations Coordinator, you’ll be working at our prestigious offices located on the New Vision Business Park in St Asaph, conveniently situated near to the A55.
